Used for AI Team Setup projects
AI Team Setup for your business
When your project calls for role-based AI assistants, Coastal configures them inside your existing platform account. We handle the business analysis, role instructions, approved knowledge, handoffs, and team training. You keep ownership of the account.
AI Team Setup is one of three implementation paths Coastal offers. Custom Software Builds and Business Automation Systems are separate services with separate scopes and pricing.
When a customer's requirements are better served by a different platform, Coastal will recommend and implement the appropriate solution.
Coastal Automations is an independent implementation partner. We are not affiliated with or endorsed by the platform provider. A compatible platform account and active plan are required. Platform subscription costs are paid separately by the client directly to the platform provider.
Business analysis
Coastal maps your workflow, identifies the right scope, and confirms what is technically feasible before any work begins.
Role configuration
Coastal configures each assistant with your approved responses, escalation rules, and workflow logic inside your platform account.
Tool connections
Coastal evaluates and connects compatible tools. Connections are confirmed during discovery — not assumed.
Testing and training
Coastal tests normal and exception cases, then trains your team before launch.
Ongoing support
Optional continued support to monitor, maintain, and adjust the agreed scope after launch. Quoted separately for AI Team Setup and Custom Software projects.
Technology and Costs
What you pay, who bills it, and what is included.
Every proposal separates costs clearly so you know what you are committing to before work begins.
Coastal implementation fee
Billed by Coastal AutomationsA one-time fee covering business analysis, configuration, workflow design, tool connections, testing, and launch training. Scope and cost are defined before work begins.
Coastal ongoing support
Billed by Coastal AutomationsFor AI Team Setup and Custom Software projects, optional post-launch support is quoted separately. Business Automation System packages include a monthly service component — see package terms for details.
Platform subscription
Paid directly to the platform providerRequired for AI Team Setup projects. A compatible account and active platform plan are required. Coastal will confirm current plan options and estimated cost during discovery. This is paid by the client directly to the platform provider, not Coastal.
Connected tool subscriptions
Billed by each respective vendorIf your workflow connects to third-party software (CRM, calendar, forms, etc.), those tools' existing subscription costs continue. New tools required for your workflow are identified during discovery.
Variable usage charges
Billed by the applicable vendorSome platforms charge per message, per API call, or per action beyond a plan threshold. Coastal will identify any applicable variable charges and include estimated monthly ranges in your proposal.
Estimates are based on typical usage patterns for a small business. Actual costs depend on your usage volume, the tools selected, and the third-party pricing in effect at the time of your proposal. Coastal does not control third-party pricing and cannot guarantee unlimited usage at any price.

FAQ
Common questions
What is the difference between AI Team Setup and Custom Software?
AI Team Setup configures role-based AI assistants inside your existing platform account — no standalone codebase. Custom Software is a purpose-built application (dashboard, tracking tool, portal) with its own hosting and dependencies. Both are scoped and priced separately.
What platform do you use?
It depends on the service. AI Team Setup works inside your platform account (built on Grok Bot). Business Automation Systems connect your existing tools. Custom Software is built from scratch. Coastal recommends the right path during discovery.
Is Coastal affiliated with the platform provider?
No. Coastal Automations is an independent implementation partner. We are not affiliated with or endorsed by the platform provider. A compatible account and active platform plan are required and paid separately by the client.
What does the proposal include?
Every proposal separates Coastal's one-time implementation fee, any applicable platform subscription costs (paid by the client to the provider), required third-party tool costs, and any applicable variable usage charges. You will know what each component costs, who it is paid to, and what is included before any work begins.
Do I need to change the software I already use?
Not necessarily. Business Automation Systems connect tools you already have. AI Team Setup works inside your platform account. Custom Software may introduce new tools — those are identified and agreed during discovery.
How long does implementation take?
Timelines depend on scope and complexity. Coastal provides a timeline estimate in the written proposal before work begins.
What if I am not sure which service I need?
Book a discovery call. Coastal will ask about your current workflow, identify the right service, and provide a written proposal before any work begins.
